What is SpeedFiler?
SpeedFiler is a powerful add-in for Microsoft® Outlook® that makes it
extremely easy to file incoming and outgoing email. SpeedFiler's super-fast,
find-as-you-type folder selection window makes filing almost effortless, even if
you have a deep hierarchy of hundreds of folders. When you send a message,
SpeedFiler can prompt you to select a folder in which to file it, so you don't
have to dump it in Sent Items. SpeedFiler does not require you to change the way
you work or organize your mail -- it just helps get the job done faster.

- Intelligent Folder
Suggestions (SpeedFiler Professional Only)
SpeedFiler analyzes each message and generates an intelligent selection of
appropriate folders. You can use the SpeedFiler toolbar or SpeedFiler's
powerful folder selection dialog to file the message in one of these folders
with just one or two clicks of the mouse.
- Rapid folder selection

SpeedFiler's patent-pending folder selection dialog is much faster than
Outlook's own dialog; as you type the name of a folder, only the matching
folders are displayed. Any folder in the system can be located within seconds, even if it is deep
in a hierarchy of thousands of folders.
- Easily specify where to file sent messages
When you are composing a message, the SpeedFiler toolbar displays the name of
the folder in which it will be filed after sending. You can specify a different
location with a couple of clicks, by picking a recently used folder or launching
SpeedFiler's rapid folder selection dialog.
- In contrast with Outlook 2003, SpeedFiler allows you to
specify a destination folder that is not in the default message store.
- Automatic prompt to file outgoing messages
If you did not specify a folder in which to file an outgoing message, SpeedFiler
will optionally prompt you to do this when you hit the Send button. SpeedFiler will
then prompt you to
choose a folder from an intelligent selection of suggestions, a list of
recently used folders, or allow you to perform a rapid search for the folder.
- File original message when sending a reply
(SpeedFiler Professional Only)
When you reply to a message, SpeedFiler can automatically file the original
message in the same folder that you select for the outgoing reply.
- Streamlined navigation to Outlook folders
Just type in a few letters from the folder's name into the appropriate field
on the SpeedFiler toolbar and hit Enter, or open SpeedFiler's streamlined
folder selection dialog and SpeedFiler will present you with a list of matches as
you type. These can also be expanded in order to show their sub-folders. You
might even find that you no longer need Outlook's Favorite Folders list!
- Alternative default Sent Items folder
(SpeedFiler Professional Only)
Unlike Outlook, SpeedFiler allows you to choose the default Sent Items folder.
If you work with Microsoft Exchange, but file your messages in a local message
store, you can now save your sent messages directly to your local message
store.

SpeedFiler is optimized for fast and efficient interaction with the user via
the keyboard and/or mouse. It is generally unobtrusive, making itself noticeable
only when necessary or relevant.

This release is a major upgrade, and includes many new features and
improvements.
New Features, Improvements & Changes
- Load Time Reduced by Almost 100%
SpeedFiler now scans the folder tree in the background, so there is no
longer a delay when Outlook starts up. SpeedFiler also caches this
information so that subsequent Outlook sessions start even faster. In
addition, SpeedFiler will continue to detect any changes to the folder
structure as they occur.
- Intelligent Folder Suggestions (SpeedFiler
Professional Only)
SpeedFiler now analyzes incoming and outgoing messages and suggests appropriate folders
for each message. If SpeedFiler's top suggestion is correct (in Outlook
2007, any of the top three suggestions), it takes just
a single toolbar click (shortcut: Ctrl+W) to file the message. The File In menu has been enhanced to
show additional suggestions, which are also displayed in the folder selection
dialog.
- File Original Message With Reply
(SpeedFiler Professional Only)
When you send a reply to an incoming message, the original message can now be automatically
filed in the same folder as the reply.
- Improved Folder Selection Dialog
SpeedFiler's rapid folder selection dialog has been improved to give
easier access to recently used folders, and also to display an
intelligent list of suggested folders that are appropriate for the
message that is being filed. In addition, the folder selection dialog
now offers a "Send & Delete" button which gives you the ability not to
keep an outgoing item after it is sent.
- Adaptive Match Ranking Algorithm
In SpeedFiler's rapid folder selection dialog, when multiple folders
match the text entered by the user, they are now ranked in order of the
quality of the match and the likelihood of selection, based on past
behavior. This significantly increases the probability that SpeedFiler
will highlight the desired folder without the user having to manually
select one of the alternative matches.
- Additional Message Types Supported
Version 2.0.0 can be used to file most types of messages, not just regular messages.
For example, Read Receipts and Post items can now be filed.
- SpeedFiler Ribbon and Menu Reorganized in
Outlook 2007
SpeedFiler's ribbon layout has been made more intuitive and section
headings have been added to the menus.
- Outlook 2002/XP No Longer Supported
As of this version, SpeedFiler no longer supports Outlook 2002/XP.
- Registry Settings
Added for Automated Deployments
When creating pre-configured deployment packages for use in large
organizations, it is now possible to pre-configure SpeedFiler to index
Public Folders and/or archive folders by default.
Bug Fixes
- Fixed:
Folder selection dialog opens up in wrong monitor of multi-monitor
system
In systems with multiple monitors, the folder selection dialog would not
always open on the expected monitor. It will now always center itself
above the Outlook window from which it is called, on the appropriate
monitor.
- Fixed: Toolbar remains after uninstalling
[KI-SF-0005]
Uninstalling SpeedFiler did not remove the SpeedFiler toolbar.
- Fixed: Received
date changes when filing a message
In rare cases, filing an item would change its received date.
- Fixed:
Deleted folders continue to appear in SpeedFiler's folder selection
dialog
Deleted folders no longer appear in SpeedFiler's folder selection
dialog.
SpeedFiler 1.1.2
This maintenance release contains minor feature improvements and addresses a number of issues discovered in the previous version.
New Features, Improvements & Changes
- Single character search strings match
beginnings only
In the folder selection window, SpeedFiler displays all folders whose
names contain the search text. If only a single character is entered,
SpeedFiler will now list all the folders whose names begin with
that character. This is much more useful than showing all the folders
with names containing that character.
- Reduced memory footprint
SpeedFiler's internal data structure has been improved,
significantly reducing the amount of memory that SpeedFiler consumes.
Bug Fixes
- Fixed: Outlook 2007 occasionally offers to
disable SpeedFiler when shutting down
When Outlook 2007 shuts down, it will occasionally have a problem with
SpeedFiler and will offer to disable it.
- Fixed: The "File
In" and "SpeedFiler" buttons occasionally disappear from SpeedFiler's
main toolbar
In some configurations, the "File In" and "SpeedFiler" menu buttons
would occasionally be missing from the SpeedFiler toolbar in Outlook's
main window, requiring the user to manually reset the toolbar.
SpeedFiler 1.1.1
This is a maintenance release that addresses a number of issues discovered in the previous version.
Bug Fixes
- Fixed: In rare cases,
after loading SpeedFiler for the first time, the Configuration Wizard
and main Outlook window flicker alternately and are deadlocked
After installing SpeedFiler and starting Outlook, SpeedFiler attempts to
show its Configuration Wizard. In rare cases, the Configuration Wizard
competes with Outlook for the focus, resulting in flickering and Outlook
is unusable.
- Fixed: Outlook terminates unexpectedly when accessing an IMAP store
In some cases, Outlook may terminate unexpectedly when accessing an IMAP
store. If the IMAP store is the default store, this happens immediately
after SpeedFiler finishes loading. Otherwise, Outlook may crash when the
user navigates to a folder in an IMAP store that is loaded by the
current Outlook profile.
- Fixed: SpeedFiler fails to initialize,
and logs an "Invalid procedure call or argument" in "clsOutlookW.GetDefaultFolderW"
This can happen if there are two Outlook profiles, each of which uses a
different set of data stores. SpeedFiler normally prevents the user from
excluding the default data store, but when one profile is loaded,
SpeedFiler can be configured not to index a store, which happens to be
the default store of the other profile. When the other profile is
loaded, SpeedFiler does not index it, and causes the above error.
Fix Note: SpeedFiler will now always index the default
store, regardless of the configuration settings for that store.
- Fixed: Folder selection window will not open, reporting
"Error 35602: Key is not unique in collection" in "frmSelectFolder.AddFolder"
In certain cases, a specific data store may appear twice in the folder tree
in Outlook's main window. This is a well-known problem, but is harmless. In
configurations where this problem occurs, the File In Folder / Go To Folder
window will not open, and the above error is reported.
SpeedFiler 1.1.0
This release adds support for new environments, optimizes some of the existing features and addresses many
issues discovered in the previous version.
New Features, Improvements & Changes
- Outlook 2007 Support
SpeedFiler 1.1 supports Outlook 2007, including
Outlook 2007's new Ribbon toolbar.
- Windows
Vista Support
SpeedFiler 1.1 now officially compatible with Windows Vista.
- Optional Prompt When Replying To A Previously
Filed Message
In previous versions, if Outlook was configured to file replies in the same
folder as the original message (except for the Inbox folder), SpeedFiler
would not prompt the user for a folder when the Send button was clicked.
In version 1.1.0, the default behavior is now to prompt the user for a folder,
using the folder of the original message as a default choice.
- Toolbar Customization Support
It is now possible to hide the SpeedFiler toolbar, remove buttons from it,
or even drag SpeedFiler buttons onto other toolbars. The toolbar can be
reset to its original state by clicking the Reset Toolbars button in the
"Other" tab of the Options window.
- Improved Performance & Memory Consumption
Version 1.1 works faster than previous versions and consumes significantly
less memory.
- Configuration Changes Regarding Outlook's
Use Of Word Or Outlook's Own Internal Editor
With this version, SpeedFiler no longer offers the ability
to reconfigure Outlook to use its own internal editor or Word when composing
new messages. This can still be done very easily using Outlook's own
options window, via Tools
| Options | Mail Format.
- Changed Behavior Regarding Outlook's "Save
copies of messages in Sent Items folder"
Previously, if this setting was turned off, SpeedFiler would still cause
outgoing messages to be saved by default. SpeedFiler now honors this setting.
- Outlook 2000 No Longer Supported
As of this version, SpeedFiler no longer supports Outlook 2000.
Bug Fixes
- Fixed: Some Outgoing
Messages are Saved in Outlook's Sent Items Folder [KI-SF-0038-F]
In Outlook 2003, if you have defined an alternative folder to use for sent
items instead of Outlook's default Sent Items folder, outgoing messages
that have been saved in Drafts (either manually or automatically after a
few minutes) will end up in Outlook's default Sent Items folder. In this
case, you will also not be prompted for a folder when you click the Send
button.
- Fixed: SpeedFiler Does Not Index Public Folders
In Some Configurations
In some configurations, SpeedFiler fails to index Public Folders and therefore
cannot be used to navigate to Public Folders or file items in Public Folders.
- Fixed: SpeedFiler Indexes A Maximum of 250 to
500 Server-based Folders In Some Exchange Configurations
In some configurations of Microsoft Exchange, SpeedFiler stops indexing
server-based folders once it has indexed 250 or 500 of these, depending
on the specific configuration.
- Fixed: Folders in newly-opened
data store (PST file) not recognized [KI-SF-0007-F]
When a new data store (PST file) is opened, SpeedFiler will not automatically
list its folders as matches in the Go To Folder or File In Folder windows.
- Fixed: SpeedFiler's Folder Tree Incorrect After
Specific Changes in Outlook Folder Hierarchy [KI-SF-0026-F]
SpeedFiler tracks any changes in the folder tree structure. However, if
an Outlook folder that has no "siblings" (i.e. has no other folders under
the same "parent" folder) is moved to a different part of the folder tree,
SpeedFiler will subsequently represent the folder at both the old and new
locations, when displaying the tree in the folder selection window.
- Fixed: Filing an Item in its Current
Location Generates an Error [KI-SF-0037-F]
If you attempt to file an item in the folder where it currently resides (i.e.
the end result is that it stays where it is), SpeedFiler issues the following
message: One or more item(s) could not be moved to the specified folder. Check
that this folder is available. (Message code: 2200)
SpeedFiler 1.0.1
This release is a maintenance release that fixes some outstanding minor issues.

- Fixed: SpeedFiler Toolbar Disappears When Next/Previous
Item Command Is Used [KI-SF-0028-F]
In some configurations, if a message is displayed in its own window, and
the user displays the previous or next message in the same window by using
Outlook's Next Item or Previous Item commands, the SpeedFiler Toolbar disappears.
- Fixed: SpeedFiler Toolbar Disappears from Automatically
Opened Item after Previous Item Deleted or Moved [KI-SF-0031-F]
If Outlook XP or 2003 is configured to display the next/previous item when
the currently open item is deleted or moved, the SpeedFiler toolbar will
be unavailable for the message automatically opened after the previous one
was moved or deleted.
- Fixed: Occasional Unexpected Error When Sending
Messages using Word [KI-SF-0033-F]
If SpeedFiler is configured to prompt for a folder when sending messages,
and Outlook is configured to use Word to compose new messages, the following
unexpected error occasionally occurs when the Send button is clicked: "405
- Cannot show modal form in this context".
- Fixed: Incorrect Folder Selection if Folder Selection
Window Dismissed Before Matches Displayed [KI-SF-0034-F]
In the folder selection window, if the user types the name of a folder and
immediately clicks Enter without waiting to see the matches displayed in
the tree, the selected folder is the one highlighted in the tree prior to
entry of the search text.
Fix Note: If you know that there is only one folder that matches
your text, you can now type in its name and hit Enter without waiting to
see it displayed in the tree. This makes for super-fast folder selection!
- Fixed: Occasional Beep Following Entry of First
Character in Folder Selection Window [KI-SF-0035-F]
Just after typing the first letter in the folder selection window, SpeedFiler
occasionally complains that there are too many matches, with an accompanying
beep. Although factually correct, this warning comes too fast for some users.

Installation Instructions
- Close all Microsoft Outlook windows.
- Run the setup wizard.
- Start Microsoft Outlook.
- The following operating systems are supported:
- Microsoft Windows 2000 Professional
- Microsoft Windows XP
- Microsoft Windows Server 2003
- Microsoft Windows Vista
- The following e-mail client programs are supported:
- Microsoft Outlook 2003 (Internet or Exchange)
- Microsoft Outlook 2007 (Internet or Exchange)
Known Issues & Limitations
- SpeedFiler does not prompt
to file messages sent using other application's "Send To Mail Recipient" feature
[KI-SF-0002]
If you use another application's "Send To Mail Recipient" feature to send a
document via e-mail, SpeedFiler may not prompt you to file the outgoing message.
This is because some applications activate Outlook in a such a way that the
add-ins are not loaded.
- Flagged messages marked as
complete cannot be filed [KI-SF-0003]
In some environments, attempting to file a flagged message that has been marked as completed will
result in an error message.
Workaround: Drag the message and drop it into the desired folder, or
clear the flag before filing it using SpeedFiler.
- Using Microsoft Word as the
default message editor in Outlook 2003 [KI-SF-0004]
If you have configured Outlook so that you compose your messages in
Microsoft Word, the SpeedFiler toolbar is not displayed, but SpeedFiler will still prompt
you to file outgoing messages, if so configured.
- Folder tree does not scroll
to show folder after navigation [KI-SF-0006]
In some service packs of Outlook 2003, when SpeedFiler's Go To Folder command is used to navigate
to a folder, although the folder is successfully displayed and its contents
are listed, the folder tree does not scroll to display the selected folder.
- SpeedFiler Not Available
in Microsoft Outlook's Advanced Find Window [KI-SF-0009]
SpeedFiler is not available in Microsoft Outlook's Advanced Find window.
- Go To Folder Dropdown
List Empty At Outlook Startup [KI-SF-0025]
If Outlook is configured to start up in the "Outlook Today" folder, or in another
such view that does not display a list of messages, the Go To Folder
dropdown list on Outlook's main window toolbar is empty. As soon as a message
is highlighted, the dropdown will contain a list of recently used folders.
- SpeedFiler Toolbar Remains
When SpeedFiler Add-in Disconnected [KI-SF-0027]
If the SpeedFiler is manually disconnected while Outlook is running, typically
via Outlook's COM Add-ins window, the SpeedFiler toolbars will remain
visible and will not be automatically removed.
Workaround: To remove the toolbars manually, choose Customize
on the Tools menu, select SpeedFiler in the list of toolbars, then click
Delete.
- Not Supported: Hebrew, Arabic
and Other Non-Western Character Sets [KI-SF-0036]
The folder tree in the folder selection window does not currently support folder
names consisting of Hebrew, Arabic and other non-western characters. Entering
a search term in these character sets is also not currently supported.
- Error reported after SpeedFiler loads: "The application will load, but events will not be logged"
This error occurs when SpeedFiler attempts to open or create the log file,
while running in a user account that is configured to have a "roaming
profile." SpeedFiler will function normally, but will not log anything for
troubleshooting purposes.
